- a. Job PurposeTo provide confidential secretarial services and basic administrative support to the office of the Director General and Senior Management staff in order to ensure they operate smoothly and effectively. The job holder is the face of the office of the Director General and the Agency and needs to uphold the image of the office and Agency in execution of duties.
Main Duties and Accountabilities (Without Limitation)
- To provide high level. Confidential and administrative support to the office of the Director General in order to ensure efficient and effective operations of the office
- To prioritize and manage multiple assignments and follow through on issues in a timely manner
- To provide background information and documentation for review and presentation by the Director General to various stakeholders
- To handle the Director General’s travel logistics, facilitate for the processing of travel documents, reservations and booking of flights and accommodation
- To maintain both electronic and physical filing systems for documents, records and reports
- Organizing and administering the office of the Director General and Coordinating delegation off the functions of the DG to other staff
- Maintaining excellent business relations with external and internal clients
- Perform other duties as assigned from time to time
Job Qualifications, Skills and Experience
- Grade Twelve (12) School Certificate with five “O” levels including English
- Diploma in Secretarial Management studies with Shorthand of at least 100WPM and typing of 55/65WPM
- Degree in Office Management or related field will be an added advantage
- Membership to the Professional Secretaries Association of Zambia
- Basic Knowledge of corporate operations procedures and procedures
- Must have at least Five (5) years working experience in an executive office.
